EmailSmart for Brainspace

When Brainspace automation is enabled for your Matter, Spectra automatically performs Lighthouse’s proprietary EmailSmart process to facilitate review based on email threading. This process enables easy identification of unique/inclusive emails (with or without lesser-included emails depending on whether an email suppression workflow is desired) for batching and review optimization. It also incorporates the results of near-duplicate analysis and clustering for families and standalone documents that could not be analyzed as part of the email threading set, which helps to further organize the review. The following article provides information on how to use the results of the EmailSmart process in your review. If you do not wish to use the results of the EmailSmart process for your review, Brainspace’s core application fields remain available to you in Relativity (see Brainspace Fields for more information).
Fields
EmailSmart_BRS_Batching |
A fixed-length text field with a consistent value that can be used for batching all Brainspace documents and their families. This includes documents whose family members went through Brainspace but do not themselves have Brainspace values. |
EmailSmart_BRS_Inclusion |
A fixed-length text field that identifies documents for suppression. The script populates a value for top-level threads. Those without a value in that field are considered lesser-included threads and are eligible for suppression. When populated, the values match those in [EmailSmart_BRS_Batching] and can be used for batching only the non-suppressed documents. |
EmailSmart_BRS_Sorting |
A fixed-length text field containing the contents of the [EmailSmart_BRS_Batching] field, suffixed with [BD EMT ThreadSort] for email families. This field can be used for sorting batch views and searches. |
Values
The table below illustrates how the EmailSmart fields are populated using Brainspace metadata and prefixes to separately identify different categories of documents.

How to Identify Lesser-Included Emails
In Relativity, create a saved search where [EmailSmart_BRS_Batching] is Set and [EmailSmart_BRS_Inclusion] is Not Set.
The resulting population is the set of non-unique / lesser-included emails.
How to Batch for Threaded Review
After identifying your review population (including whether or not lesser-included emails should be suppressed), your documents can be sorted based on email conversations by using the following parameters:
- EmailSmart_BRS_Sorting ASC
- ReviewID ASC
Within your batch set, the following Family Field can be used to ensure that all items within a given EmailSmart group are kept together in the same batch:
